Associate Church Secretary
WORK SCHEDULE:
26 hours per week, Monday-Thursday.
This would be a perfect position for someone who needs occasional flexibility for children's school events, doctor appointments, etc.

There is potential for this position to transition to full-time in the future. We would love to find a candidate who may be willing to take on the primary church secretary role in the future.

JOB DESCRIPTION:
Associate Church Secretary. The Associate Church Secretary is a part-time hourly member of the Church staff under the general supervision of the Personnel Committee and the direct supervision of the Associate Pastor. The Associate Secretary will assist the Church Secretary in performing the assigned duties, and should be prepared to perform all the listed duties in the absence of the Church Secretary.

Duties
-
To become cross-trained to perform all the listed duties of the Church Secretary
-
To assist the Church Secretary in performing the listed duties
-
To act as receptionist, and maintain a clean and attractive reception area; to ensure that the office kitchen and refreshment area are clean and well-stocked

To keep office supplies stocked and organized

To take on primary responsibility for specific assigned tasks of the Church Secretary

To provide administrative assistance for the Pastor and Ministerial Staff as requested

To receive calls and visitors
-
To receive and distribute mail
-
To check phone messages daily and distribute information to the appropriate personnel
-
To prepare bulletins, prayer lists, and other materials and publications as assigned
-
To maintain the church calendar, including reservations for church facilities and vehicles
-
To maintain an accurate and up-to-date record of church and organizational membership and attendance

To print, and distribute the weekly Worship Bulletin and the biweekly Church Prayer List, ensuring that all information is complete, correct, and current; to submit the Bulletin and Prayer List to the Associate Pastor for approval before publication

To be responsible for online publication of the weekly bulletin, monthly newsletter, and other periodic announcements

To assist with the monthly publication and mailing of the church newsletter

To perform other duties as assigned

To order and maintain supplies for the church office and organizations

To order and help distribute literature for Sunday School, Christian education ministries, and other church organizations

To copy reports and church materials for classes, committees and church organizations
-
To maintain an accurate and up-to-date record of church and organizational membership and attendance

To serve on the Church Council and the Budget and Finance Committee.

To be responsible for the financial bookkeeping including writing checks and paying bills in accordance with the voucher system

To maintain a balanced ledger and checkbook
-
To prepare a monthly financial report, monthly tax deposits, year-end financial report, quarterly tax forms, W-2s, and other employment documents for all employees.

To assist the Treasurer with counting offerings and preparing deposits.

To post deposits and online contributions to the computer at least weekly

To post individual contributions into the computer, and prepare year-end reports

To maintain records and send acknowledgments for memorial/honorary contributions
-
To provide weekly reports to the Associate Pastor and Church Treasurer regarding the financial status of the church
-
To assist the Moderator and Clerk in preparation of business meeting materials
-
To maintain communication with church staff, leaders, committees, and organizations
-
To prepare and distribute correspondence to visitors and members as needed.
